Privacy Policy
What we collect, why we collect it, and what we do with it.

Green Heroes is a volunteer conservation organisation on the Tweed Coast. We collect as little personal information as we can, we use it only to run our programs, and we do not sell it or share it for marketing.

What we collect, and why
When you book or enquire about an expedition
Your name, email address and mobile number, so we can confirm your place and reach you if conditions change on the morning. We also ask for the number of people in your group.
Emergency and safety information
An emergency contact name and phone number, any medical, dietary or access needs, and your confidence in the water. Our activities happen on boats and in the ocean. We ask for this so our crew can keep you safe, and so we know who to call if something goes wrong.
When you send us photographs
The image itself, plus whatever date and location information is attached to it. If you tell us your name we record it so you can be credited.
When you donate
Your name, email address and the amount, so we can thank you and issue a receipt.
When you subscribe to updates
Your email address, and nothing else.
We never see your card details. Payments are handled entirely by TryBooking and Stripe. Card numbers are entered on their systems, not ours, and are never sent to us or stored by us.
Health and emergency information
Information about your health is sensitive, and we treat it that way. We only ask for it because we run in-water and boat-based activities where it genuinely matters.
- We collect it only with your consent, given when you provide it.
- We share it only with the crew running your specific activity, and only what they need to keep you safe.
- We do not use it for any other purpose, and we do not keep it after the activity has finished unless you are a regular volunteer and ask us to hold it.
If you would rather give this information verbally on the day than write it down, that is fine. Tell us and we will arrange it.
Photographs of you
We take photographs on expeditions and at community events, and we sometimes use them on this website, in reports to funders, and on social media.
If you would prefer not to appear, tell any of our crew on the day, or email us. We will not use your image, and if something is already published we will take it down. You do not need to give a reason.
We ask separately before photographing children, and we do not publish a child’s name alongside their photograph.
Who else handles your information
We use a small number of outside services to run things we cannot run ourselves. Each holds only what it needs:
- TryBooking takes expedition bookings and payments, and passes us the participant list.
- Stripe processes donations.
- Our charter operators receive a passenger list for the vessel, because they are legally required to know who is aboard.
- Our website and email hosts store the site and our correspondence.
Species observations we submit to citizen science databases contain the sighting, the date and the location. They do not contain your contact details.
What we do not do
- We do not sell, rent or trade your information.
- We do not pass your details to other organisations for their marketing.
- We do not send you email you did not ask for. Every update we send has an unsubscribe link, and it works.
How long we keep it
Booking and safety records are kept for as long as we need them for insurance and reporting, and then deleted. Newsletter subscriptions are kept until you unsubscribe. Donation records are kept for seven years, because tax law requires it.
Keeping it secure
This site runs over an encrypted connection. Access to booking and participant information is limited to the volunteers who need it. We are a small organisation and we do not pretend to have enterprise security, which is exactly why we collect as little as possible and delete it when we are finished with it.
Seeing, changing or deleting your information
You can ask us at any time what we hold about you, ask us to correct it, or ask us to delete it. Email hello@greenheroes.org.au and we will respond within 30 days. There is no charge, and you do not need to explain why.
If you are unhappy with how we have handled your information
Tell us first and we will try to put it right. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
If we change how we handle personal information we will update this page and change the date at the top. If the change is significant we will tell people who have given us their details.
